Refunds & cancellations

This policy applies to commissions with ValleyCore System: Seasonal Campaign Performance Chart Packs, Mid-Season Review Sessions, and Custom Visual Analytics Briefs. It does not cover products, subscriptions, or physical retail goods — we do not sell those.

Eligibility

Refunds and fee adjustments depend on how far the commission has progressed and whether a deposit or full fee has been paid under a signed statement of work.

Timeframe to request

Contact us within 14 days of the invoice date or the event giving rise to the request (whichever is later), unless a different window is written into your statement of work.

Full refund

A full refund of sums paid is available if:

• We cancel the commission for reasons within our control before work starts; or
• You cancel in writing before we begin data intake and more than five working days before a booked session date.

Partial refund

If work has started (data intake, baseline lock, or chart drafting), we may refund the unused portion after deducting:

• Time already spent at the rates in the statement of work
• Non-recoverable costs (e.g. booked studio print runs already ordered)

Non-refundable items

• Deposit portions corresponding to completed milestones
• Rush fees once the rush window has been used
• Third-party costs already incurred with your written approval

Process

Email hello@system-valleycore.click with your invoice number, commission name, and reason. We confirm the outcome in writing within ten working days.

Processing time & method

Approved refunds are paid within 14 working days to the original payment method (typically bank transfer). Card charges are not taken on this website; refunds follow the method used on the invoice.

Cancellation & rescheduling

• Chart packs: Cancel or pause in writing. After baseline lock, cancellation converts completed work into a payable partial delivery.
• Sessions: Reschedule once free of charge with at least five working days’ notice. Later changes may incur a £150 admin fee.
• No-shows: Missed sessions without notice are charged in full; a condensed follow-up may be quoted separately.

Work already started & materials

Draft charts and research prepared before cancellation remain our intellectual property unless the agreement says otherwise. We can transfer usable drafts for a handover fee agreed in writing. Purchased print materials ordered for your pack are chargeable if already printed.

Deposits

The 40% deposit reserves capacity. It is refundable only under the full-refund conditions above.

Exceptions

Statutory rights under UK consumer law remain unaffected where you contract as a consumer. Most commissions are business-to-business; please tell us if you are contracting as an individual consumer so we can apply the correct notices.
